Conference Room - Order, Provisioning and Setup

1) Hover mouse over top admin menu, go to "Store Administration", "Orders", then click on "Create Orders":





2) Once in the "Create Order" page, if customer has never placed an order, but has already registered, use the search form to look up existing customers by leaving all fields blank, pressing search and then searching for e-mail address.





3) After finding the customer and having selected it, press "Create Order". Afterward, fill in customer's details and select "Conference Room" product:





4) Now, fill in the PIN, Admin PIN and Record settings. Then submit order:





5) Enter credit card details in the virtual terminal.





6) If payment was processed manually or if Paypal was used, register a payment by clicking view in the payment box, then register the amount.





7) Once balance is covered, the order needs to be changed to Completed status in order for the line to be provisioned. Click on the view tab, then modify the status selection to "Completed" and click "Update".





8) Once you see the following confirmation message, the conference room has been created and information was sent to the administrator's mailbox as well as to the user with the SIP registration information.





9) In order to verify the service has been provisioned successfully, administrators can masquerade as users to log into their GUI and see the conference room.





10) Open the conference room settings page by going to "My Services", "My Conference Rooms".





11) Once in the Conference Room Settings GUI, you can set whether to have a PIN for the conference for users to dial in order to be authenticated. The AdminPIN is to download the conference's recordings; it's possible to configure multiple rooms with different PINs and Admin PINs in order to give access to different users to different rooms.





12) Now that the conference has been set, a phone number needs to be assigned to it so customers can call into the room. Through the "PBX Admin Panel", go to "Inbound Routes" and set the DID with the following format:

- Format: brand_room
- Example: klieo_maxglucksmann17






13) At this point, the conference room is ready to be used. If you had set the "Rec" checkbox in the settings GUI, then a file will be recorded. In the GUI, you can click on "View Files" and you will be taken to the "Download Page" of all conference rooms. Click on the conference you wish to download files from:





14) After clicking on the conference room's link, you will be prompted for the corresponding "AdminPIN". Enter the conference room as user and the AdminPin as password:
- User: maxglucksmann17
- Password: 101580




15) Finally, you will be logged into the conference room folder where you will be able to browse and download the recorded files:
